POS settings

Use this form to change the way the POS behaves.  Also to avoid the need to keep selecting printers when switching from receipt to A4.  For example when printing client invoices and quotes from Front Counter.


There are five tabs that contain the controls relating to: Store wide settings (this is not on the lane settings), lane settings, printer settings, customer facing and integrating EFTPOS terminals.

1. Store wide settings.

As described, the settings here apply to all lanes.  Including the "back office" if it is running as a till.  Most of the settings on this tab relate to cashier security.
 

  • To activate password access to Front Counter check the "Activate password access" box.  The default is to have password access off.  Cashier logon is still required even if password access is turned off.
  • If you wish to authorise sales, gifts and exchanges so the docket total due may be zero check the "Allow free sales/gifts/exchanges" box.  Be aware that enabling this setting allows cashiers to manually alter the default prices and to allow exchanges of goods.
  • If you have items that have the same price and/or bar code/SKU, but differ in such things as size, and wish to track the stock levels of all items, then check the box "Enable multi-item selection (styles, colours, prices)". Note you can vary prices of those items.  In that a set, special (end of line for example) price for one item can over ride the price of the "main" item.  Additional fields become visible in Stock maintenance when this is checked.  This also activates an additional button in the Stock management form - Item details.  This enables you to enter multiple styles (in the case of clothing and the like) or differing prices based on condition (for second hand goods).   • If you wish to send orders to shipping, or are running a takeaways/cafe and need to make up bespoke orders, then check the box "Print orders when payment is made."  Orders are NOT receipts.  They include the items, and the quantity, so that staff know how many of each the customer is purchasing.
  • If you wish to restrict who can open the till using the "Open cash drawer" button check the box "Only managers can open the till".  This means that cashiers who don't have supervisor, or above, status cannot open the till using the "Open cash drawer" button when they are logged into the POS.  If they do click the button a manager's authorisation form appears and a manager needs to enter both their user number and password.
  • If you wish to authorise staff to allow single item (docketed) cash outs check the box "Enable docketed cashout".  When this setting is active another button shows on the POS - 'Cash out".  Such cash outs are added to the docket as if they are a "normal" item.  But the cash out amount displays in the Cash out field when the payment is being processed.  Using docketed cash outs allows you to process dockets that are for cash out purposes only.
  • To apply discounts to an entire docket (instead of item by item) check the box "Activate docket discounts".  Another button "Docket discount" is added to the POS.  Clicking that button results in a "Discounts" form appearing.  You can then apply either a percentage, or flat amount, discount.  The total sale is then decreased by the discount amount and the discount appears as an "item" on the docket. If the cashier does not have sufficient rights the manager authorisation form appears first.
  • The software does not allow you to remove stock items that have been sold, or included on customer invoices, unless you clear all sales records. However you can still remove discontinued items form the POS buttons.  To do so check the box "Remove POS button if item is discontinued".
  • If you are running either the Hospitality Suite or MyCafe then checking the box "Enable scanning on Cafe POS (Hospitality only)" activates the scanning field on the Cafe POS form.  This setting has no effect on Cash Register or Retail Business. When active an additional field activates on the POS form that enables cashiers to select stock items using a bar code scanner.
  • To prevent low level staff from providing refunds and discounts without authorisation check the box "Manager authorisation required for refunds and discounts".  If the cashier does not have, at least, supervisor access the manager's authorisation popup appears when they select to carry out a refund or apply a discount.
  • If you want to arrange customer bookings check the box "Enable customer bookings".  When you do so additional buttons are activated on the POS selection form and you can activate the customer booking application.  Additional receipting and billing functions are also included on the POS.  This function is useful for people running hair salons and the like and Retail Workshop.
  • If you wish to allow loyalty points to be gained when a customer buys items that are on special, or are discounted, check the button "Yes" in the section "Allow loyalty points......."
  • To activate store-wide sales click the button "Activate store sales".


    2. Lanes settings


  • If you want the POS to add items to the docket as soon as they are selected check the box "POS defaults to auto mode".  If you stay in manual mode cashiers need to remember to click the "Accept" button to add items.  Unless the POS stock item buttons are being used.  In that case items are included on the docket as soon as the button is clicked. If you switch to manual mode, once the item has been accepted the POS switches back to auto mode.
  • To activate the stock line POS buttons check the "Enable stock line sales buttons on POS" box.  You can set up the buttons first and check this box when you are ready to go.  The stock line buttons are especially useful if you have a number of items without bar codes.
  • If you want the POS to lock after a certain period of inactivity check the box "Enable cashier switching on POS".  When you do so an additional field appears to enter the number of seconds before the POS locks.  In the above example 180 seconds (3 minutes) has been selected.  If you are going to use this option staff need to enter (and confirm) a pin number when they first log on.  After than they need to rekey the pin , and select their name, when the POS locks. 
  • If a second monitor is connected to your terminal/PC you can use it as a customer display.  To do so check the box "Activate second monitor (if present) as customer display".  The POS always checks to see if a second monitor is present.  Once you have done so go to the Customer facing tab and select the monitor size.  The "15 inch" option expands to fill a full, larger, screen.  The smaller sizes are for specialised customer displays on touchscreen terminals.
  • If you wish you can include images on the POS buttons.  Before doing so read this section.. A set of images is installed with the software.  To activate the images options check the box "Include images on the POS buttons".
  • To activate item selection options check the box "Activate takeaways/menu/options selection for this lane". Whatever the setting is on the back office it should be the same on any lanes.  This is because, once options are enabled in back office, only the "Options setting" buttons are visible in Stock Management.  The alternative of Stock Packages can no longer be set up.  Although you can set up "options" as if they are packages.  But you need to enter the total for the package manually.  It is not calculated as items are added.
  • If each lane always uses the same float amount enter the amount into the "Float amount" field.  If you use departments to specify the location of each lane the end of day cash up totals the float from all lanes of each department.  Other wise the float amount set on back office should be the TOTAL float amount shared between all lanes as the end of day cannot be split between lanes in that case.
  • To activate check out scale weighing check the Activate checkout scales box.  If it is visible.  This is only visible if you have checked the box Use check out scales in Company Control.  Follow these instructions to configure the software to use the CAS PD-II, CAS AP-1, Ohaus Aviator 7000 or Wedderburn DS-series check out scales.
  • If you wish to track internal store/lane performance then set up Lane departments.  You can set up a department for each lane.  Or multiple lanes for any department.  First set up the required departments.  Once departments are set up, and allocated to lanes, all end of day cash ups (with the exception of the Back Office one) are calculated based on the relevant department.  The back office end of day is a consolidated one.

    3. Printer settings


  • You can use either 60mm or 80mm receipt printers.  In the above example 80mm is being used - it is the default.
  • You can set up four printers for specific uses - receipt printer, A4 invoice, orders and report printer, labels printer and kitchen printer.  The receipt, A4 and kitchen printer settings are used in the POS.  The labels printer can be used from either Stock Management or the stock orders tab of the Full Service Front Counter.
  • These settings are only relevant when using Front Counter operations.  If you only have the base system this setting is not relevant when using Back Office, or other non-POS, reports and forms.  If these settings have not been configured you need to run previews of invoices, quotes, sales reports,etc to switch to the correct printer.  Because the default printer on the cashier's counter should be the receipt printer.
  • Select the printer you wish to allocate to the prefered function.  The name of that printer will appear in the correct field.
  • Note - if using a network the printer names will vary depending on the workstation name.  In that case set the lane up using the Lane settings form.  Activate it from the POS functions form. In the example above two of the printers are networked and shared.

    4. Customer facing


  • In the example above the customer display being used is an eight inch screen.  And the POS always prompts the cashier for whether to print a receipt.  You can also set the POS to never print or to always print.
  • This tab allows you to define some of the messages that print on the receipt as well as the size of the second monitor that operates as a customer display.  If you have set up the receipts to include additional details it is a good idea to disable the receipt message.

    5. EFTPOS integration


  • To activate the EFTPOS options check the box "Turn on integrated EFTPOS."  The default setting is to for it to be disabled.  Once the option has been checked addtional fields display that relate to the option you selected.
  • The above example shows integrated EFTPOS being activated for DPS Payment Express.  Depending on your EFTPOS terminal you may need to contact your provider to find out how to connect the terminal to the POS.

    6. Cashier lane settings

    If you are configuring a cashier lane activate the Lane settings from the POS functions form.



    The lane settings form operates in the same manner as the store wide POS settings form.  It differs in that store-wide settings are not available.  They can only be changed from back office.
